An overseas bank is seeking an Assistant Vice President overseeing administration and facilities.
Your new role
Follow company guidelines and instructions from supervisors to fulfil responsibilities in Office Administration and Facilities Management:
Ensure workplace safety facilities' compliance, including coordinating with the Building Management Office.
Oversee office maintenance, Audio & Video system setup, and room arrangements.
Manage office equipment, room bookings, and vendor coordination for setup, maintenance, and inventory checks.
Handle IP phone and voice recording systems, conducting regular checks on voice records.
Handle various Office Administration tasks such as managing office supplies, procurement, and office relocation projects.
Conduct fixed asset checks and prepare monthly fixed asset reports.
Maintain telephone assignment records and update floor plans.
Assess and oversee the adherence to operational procedures based on Head Office protocols and local regulations.
Supervise centralised mailing operations, liaising with external vendors for document deliveries to ensure timely dispatch to third parties.
Offer administrative and operational assistance to affiliated companies and branches as required.
What you'll need to succeed
Associate degree holder or above in related discipline.
6 years or above in facility Management and Office administration.
Track experience in leading a team of tea ladies/ messengers/ drivers.
Experience in the banking industry/ sizeable corporate corporations is a plus.
Proficiency in both spoken and written English and Cantonese.
Good command of Microsoft office, including Word, PowerPoint, Excel, and Access.
Knowledge of using AutoCAD is preferred.
